Wholesaling systems FAQ: 40 pain points, answered from a systems view

These are the questions I hear from owners and ops leads at wholesaling and home-buying companies, in my calls, in investor groups and in the replies to my own posts. They sound different on the surface ("my VA makes 4,500 calls a week and I get nothing", "deals die between the offer and the contract", "my dashboard doesn't match my bank"), but nearly all of them are systems problems: a missing owner, a missing date, a field that isn't required, two records for one seller. Each answer below is short and points to the full guide. For the questions behind Salesforce specifically, there is a separate page with 50 Salesforce answers, and for the very practical "how do I" questions from owners, questions from wholesalers.

Short answer

Most wholesaling pain points trace back to five system gaps: no owner and no clock on a new lead, no dated next step on an open lead, no rules for moving a deal between stages, more than one record for the same seller, and no source tracked through to the contract. Fix those five and the symptoms (cold leads, stalled offers, wrong numbers, wasted marketing) mostly ease. The answers below take each symptom in turn.

Leads and speed

Why do my seller leads go cold before anyone calls them?

Usually because nobody is told to. A new lead lands in a list, and calling it depends on someone checking. Make every new lead create a task for a named person, or for a shared queue with a claim rule, within minutes. Speed to lead has the setup.

How fast should we call a new seller lead?

As fast as you can, measured in minutes. Harvard Business Review's study of online leads found firms that tried to contact a lead within an hour were nearly seven times as likely to qualify it as those that waited longer. Set your own target and report on it by rep. All the sourced statistics.

How do I stop missing seller phone calls?

Treat a missed call as a lead: log it, create a callback task for the owner, and text the number back if you have consent. Then report on missed calls by hour so you can staff the gaps. Missed-call alerts walks through it.

How do I know which lead source is actually working?

Record the source and campaign on every lead at the moment it's created, put the marketing cost on the campaign, and follow each lead through to a signed contract. Then report cost per contract by source, not leads by source. Lead sources in Salesforce.

Why does my lead count look good but my contracts don't?

Because leads are not the same as sellers. Duplicates, junk leads and sources that bring in shoppers inflate the count. Check for duplicate records first, then compare each source's rate of appointment, offer and contract, not just volume. Duplicate seller leads.

What should I do with leads that never answer?

Give them a fixed, finite follow-up plan, then move them to a nurture status with a re-contact date instead of calling them dead. Sellers' circumstances change, and these are your cheapest leads to wake up. Follow-up cadence builder.

Follow-up

How many times should I follow up with a seller?

It depends on the seller's timeline and your lead source, but the rule is consistency over a long period rather than a burst. Build the touch plan into the CRM so it doesn't rely on memory. The cadence builder gives a plan by seller type.

How do I follow up on offers that went quiet?

Make the follow-up date a required field when an offer is sent, and create the task automatically. Quiet offers are usually not rejected offers; they are unattended ones. Offer follow-up covers what to send and when.

How do I stop follow-up depending on my team's memory?

Require a next follow-up date on every open lead and block a stage change without one. Then a scheduled automation creates the task and flags overdue ones to a manager. The system holds the memory, the person does the call.

What is the best way to reactivate old seller leads?

Segment them by why they went quiet and how long ago, approve each segment and message with a person, check consent and opt-outs first, and send in small waves you can measure. Reactivating dead seller leads has the playbook.

Should follow-up be automated or personal?

Both, with a clear split: automation creates the tasks, reminders and the first light touch, while a person has the actual conversation once a seller replies. The AI guide ranks which jobs to hand over first. AI for wholesalers.

Pipeline and handoffs

What stages should my wholesaling pipeline have?

Eight working stages are enough for most teams: New lead, Contacted, Appointment set, Offer made, Under contract, Marketing to buyers, Closed and Dead, plus a Nurture status for "not now". Each needs an entry rule, an exit rule, an owner and a time limit. Pipeline stages.

How do I hand a lead from my cold caller to acquisitions?

Pass the reason for selling, timeline, condition, price expectation, who else decides and the agreed next step, as fields on the record, not a voicemail or a note. Make the handoff a stage with an owner and a clock. Cold caller handoff checklist.

Why do deals stall between the offer and the contract?

Mostly because the offer has no owner and no follow-up date, or the seller's other decision-makers weren't identified at the appointment. Require both before a deal can enter Offer made, and review the oldest offers weekly.

When does a lead become a deal in the CRM?

Usually when an appointment is set. Before that, it's an inquiry on the Lead; after, it's a deal on an Opportunity. Converting too early inflates the pipeline and too late hides the stages you want to measure. Lead, Opportunity or Property.

How should I track a deal after the contract is signed?

Keep the signed contract, closing date, title company and assignment or sale price on the deal, hand it to dispo the same day, and track buyer responses. Dispositions and transaction coordination cover it.

Team and access

What CRM workflow should a new cold caller start with?

A short one: a queue of assigned leads, a few required fields to fill after each conversation, a clear rule for what counts as a handoff, and a daily view of their own numbers. Add rules only when you see a repeated mistake. Team roles and the CRM.

How do I monitor my cold callers' calls and numbers?

Make sure the dialer logs every call to the seller's record, then report calls, conversations, appointments set and handoffs by caller by week. Judge them on appointments and handoff quality, not call volume. Dialers and the CRM.

How much CRM access should my VAs get?

Only what their job needs: usually their own leads and tasks, not exports of the whole database, and a log of what they changed. Set this up before they start, not after something goes missing. Who sees what.

How do I stop an employee from taking my lead list?

Limit who can export, hide phone numbers where the job doesn't need them, turn on field history, and review who exports what. You can't make theft impossible, but you can make it visible and slower. Stopping reps exporting your list.

How do I know if I need another acquisitions rep?

Look at appointments set per rep, the time from appointment to offer, and how many leads wait for a first call at peak hours. If appointments are being missed or delayed, capacity is the issue. The capacity calculator helps, and so does adding reps without losing leads.

What happens to my CRM when the person who built it leaves?

Often, nobody knows how things work, automations fail quietly and changes stop. Keep a short document of what's built, name a backup admin and review automation errors weekly. When your Salesforce admin leaves.

Numbers and reporting

Which five numbers should an owner look at every week?

The ones I'd start with are leads by source, time to first contact, appointments set, offers and contracts, and cost per contract. The Monday 5 sets them out with how to pull each one.

How do I calculate cost per contract?

Divide what you spent on a source in a period by the contracts that source produced, and for the true picture include the cost of people and tools. The cost per deal calculator does the arithmetic by source.

Why doesn't my dashboard match my bank account?

Usually because of dates (created vs closed), the running user's access, double-counted duplicates or deals entered differently by different reps. Ten reasons your numbers are off has a 20-minute check.

How do I send closed deals back to Google Ads?

Capture the Google click ID on every web lead, store it through to the deal, and upload the stages that matter (such as a signed contract) as offline conversions. The setup is in the Google Ads guide.

How do I give credit to the right campaign when a seller comes in twice?

Decide a rule in advance (first touch, last touch or both recorded) and apply it the same way every time, keeping the original source on the record. Which campaign gets credit?

Tools and CRM choice

What is the best CRM for real estate wholesalers?

There isn't one answer: it depends on team size, lead sources and how unusual your process is. Investor CRMs suit teams that want the loop built in, and Salesforce suits teams of about 10 or more that want to control the process. 11 options compared.

Is there a free CRM for wholesaling?

There are spreadsheets and free tiers of general CRMs, but none built around wholesaling. They work for one person with low volume and strain with a second person, big lists and the need for follow-up automation. What free gets you and where it stops.

When should I move off Podio?

When the things you've built around it (automation limits, integrations, reports) cost more than they save. A clean move needs a field map, a pilot and a plan for open deals. Moving off Podio and Podio's automation limit.

Is Salesforce too much for a small team?

For a solo operator or a team of two or three, often yes. It starts to make sense with about 10 people, several lead sources and a process of your own. Salesforce vs investor CRMs and the edition picker help you decide.

Can I run my wholesaling business from a spreadsheet?

At low volume with one person, yes. Add a next follow-up date, an overdue flag and a weekly count by source. Move when a second person needs it or lists get large. Here is a free seller lead tracker.

How do I tag leads without making a mess?

Use fields for what you'll count (source, situation), campaigns for marketing waves, checkboxes for consent, and tags only for short-lived labels from a fixed list. Tags, fields or campaigns.

AI and compliance

Can AI follow up with sellers for me?

For some jobs, yes: summarizing calls, drafting messages and ranking leads are low-risk starts. AI that contacts sellers on its own is higher-risk and needs consent. AI for wholesalers ranks the jobs and the rules.

Do I need consent to text sellers?

Generally yes, and your messaging also needs carrier registration (10DLC) and working opt-outs. This is not legal advice, so check your states. Texting sellers: 10DLC and consent.

How fast do I have to honor a stop text?

Since April 11, 2025, callers must process opt-out requests within a reasonable time not to exceed 10 business days and honor keywords such as STOP, QUIT and UNSUBSCRIBE. Sooner is safer, and one opt-out should cover every duplicate record.

Do wholesaling laws affect what my CRM tracks?

Yes. Several states have rules on wholesaling disclosures, licensing and contract language, and your CRM can hold the fields and checks that prove you followed them. Wholesaling laws and what your CRM has to track.

Fixing or moving your system

How do I know whether my CRM is leaking deals?

Check whether leads have sources and next steps, whether duplicates exist, how long leads wait for a first call and how long deals sit in each stage. The Deal Leak Score turns this into an estimate, and the audit checklist lists the checks.

How do I move to Salesforce from another CRM?

Export everything, map each old field to a new one, move the open pipeline first, run a short planned overlap and keep the old record IDs. How a move works has the plan.

How do I stop duplicate sellers in my CRM?

Match on a cleaned phone, email and property address, alert people instead of blocking integrations, de-duplicate lists before you import, and merge on a schedule. Duplicate seller leads.
