Salesforce for real estate investors: 50 questions, answered plainly
These are the questions that come up most when owners, ops leads and acquisitions managers at home-buying and wholesaling companies look at Salesforce. Each answer is short and leads with the answer itself. Where there's more to say, there's a link to a full guide. I run the Salesforce for a two-market home-buying company in Ohio, so the answers come from that work, not from a brochure.
Prices, limits and features below were checked in October 2026. Salesforce and other vendors change them, so check the linked guide or the vendor before you rely on a number. Nothing here is legal advice.
Is Salesforce right for your team?
Is Salesforce good for real estate investors and wholesalers?
Yes, for teams with a real process to run. Salesforce can hold every seller lead, call, offer, contract, buyer and closing in one place, with automations for follow-up and reports that tie marketing spend to closed deals. It isn't set up for investors out of the box, so it has to be built around how your team works, by someone like me or through an investor CRM built on Salesforce. More in Salesforce for real estate investors.
What size team should use Salesforce?
It usually starts to pay off at around 10 people, or sooner if you run several markets or spend heavily on marketing. Below that, an all-in-one investor CRM is often simpler and cheaper. Above it, missed leads and marketing you can't measure tend to cost more than the system.
Is Salesforce overkill for a solo wholesaler?
Usually, yes. A solo wholesaler or a team of two or three is better off with an investor CRM that bundles the dialer, texting and lists and needs no admin. Come back to Salesforce when you have reps, a second market or questions your tool can't answer.
Is Salesforce better than an investor CRM like REsimpli or Podio?
It depends on your size and how much control you want. Investor CRMs are faster to start and come with investor features built in. Salesforce takes more setup but lets you build your exact process, connect any tool and report on anything. I compare them in Salesforce vs investor CRMs and Salesforce vs Podio.
Do I need a special real estate version of Salesforce?
No. Most investor teams run on standard Salesforce with custom fields and objects for properties, offers and transactions. Some use an investor CRM built on Salesforce, which gives them a ready-made setup on the same platform. Either way, how it's set up matters more than which package you start from.
Which Salesforce edition does an investor team need?
Starter Suite can't hold custom objects, so it can't store properties or transactions. Pro Suite works for a small team but caps you at 5 flows in total and leaves out joined reports and approvals. Teams that want real automation usually need an Enterprise-level edition, which Salesforce now sells as Core. Confirm current limits with your Salesforce account executive before you buy.
Cost
How much does Salesforce cost for a real estate team?
It depends on the edition and the number of users, and licenses are usually the smallest part of the bill. I don't quote list prices because they change and they're negotiable: most businesses can get a discount through their Salesforce account executive, depending on the business and the number of users. Budget separately for setup and for someone to run it.
How much does it cost to set up Salesforce for an investor team?
Small-business implementations commonly cost $10,000 to $30,000, based on ranges a Salesforce consultancy published in October 2026. Where you land depends on integrations like the dialer, texting and accounting, how much data you move and how much automation you want on day one. See choosing a Salesforce consultant.
How much does a Salesforce admin cost?
In 2026, US median base pay for Salesforce admins is about $110,000 to $120,000 depending on the survey, with juniors around $78,000, according to Salesforce Ben's August 2026 roundup. Contract admins charge about $75 to $135 an hour. Details in hiring a Salesforce admin.
Can we get a discount on Salesforce licenses?
Often, yes. Ask your Salesforce account executive, especially at renewal or when you add users. Discounts depend on the business and the number of users, so get a quote for your real team instead of comparing list prices.
What does the CRM Revenue Audit cost?
USD 1,500, fixed, for teams already on Salesforce. If the report doesn't find at least five fixable issues worth more than the fee, you get a full refund. If you hire me for the build or for monthly support within 30 days of the walkthrough, the full fee comes off the project or your first three months of fees. See the CRM Revenue Audit.
Moving to Salesforce
How do we move from Podio to Salesforce?
Map what you track in Podio to Salesforce objects and fields, decide which history to bring, rebuild the automations that matter, then move every web form and phone number on one cutover day and check daily that no leads landed in the old system. Podio's Excel export leaves out comments and files, so plan those separately. The switch guide has the field map.
How long does a move to Salesforce take?
About 90 days for a typical investor team, with new leads flowing into Salesforce by around day 45, following the plan in my switch guide. Clean data and few integrations make it faster. Several tools and years of messy tags make it slower.
Will we lose call history and notes when we switch?
Some of it, often. Podio's Excel export leaves out comments and files, and other tools limit what they export. Move the history for open deals and active sellers, and keep the old account read-only for a few months for lookups.
Can we keep our dialer and texting tool if we move to Salesforce?
Usually, yes. Many teams keep their dialer and data vendors and connect them to Salesforce, so calls and texts land on the seller record. Check that the tool has a Salesforce integration and that your edition includes API access, which most integrations need.
What is Podio's new automation limit?
Since September 1, 2026, Podio Workflow Automation includes 25,000 actions a month. Extra capacity comes in prepaid, non-refundable add-ons on the Premium plan only. There's no automatic overage charge; automations above your capacity may be limited or fail instead. See Podio's new automation limit.
Can we keep GoHighLevel and add Salesforce?
Yes. Some teams keep GoHighLevel for marketing and texting and make Salesforce the record of every deal. Decide which system creates the person, sync on one key (usually the phone number) and add a duplicate rule on the Salesforce side.
Leads and speed to lead
How do I route leads automatically in Salesforce?
Use lead assignment rules to send leads to a rep or a queue based on things like market or source. Only one assignment rule can be active at a time, but it can have many entries, checked in order. Round robin and escalation take a little more setup. See lead and call routing.
Does Salesforce have round robin lead assignment?
Not as a simple built-in switch for leads. Common approaches are an auto-number field with a formula that cycles through values, paired with assignment rules; a Flow that picks the next rep; Omni-Channel routing; or an AppExchange app. The right one depends on your volume and whether rep availability matters.
How do I get missed-call alerts in Salesforce?
Connect your phone system so every call creates or updates the seller's record, then use a Flow to alert the rep or a Slack channel and create a callback task when a call is missed. It's one of the first things I'd set up for any investor team. See missed-call alerts in Salesforce.
How fast should we call back a seller lead?
As fast as you can, and measure it. In Harvard Business Review's 2011 study, firms that contacted a web lead within an hour were nearly seven times as likely to qualify it as firms that waited even an hour longer. Most lead response research isn't about real estate, but it all points the same way. Sources in my lead response statistics.
How do I stop duplicate seller leads in Salesforce?
Set up matching and duplicate rules on phone, email and property address, decide whether to block or alert, and check what your web forms, dialer and imports create, because imports and API connections handle duplicate rules differently from manual entry. See duplicate sellers in Salesforce.
Can Salesforce stop texting a seller once they reply?
Yes, if your texting tool writes replies back to Salesforce. A Flow watches for an inbound reply and stops the cadence, so a seller who answered doesn't keep getting automated texts. Test it with a real reply before you trust it.
How do I know which marketing number a seller called?
Give each campaign its own tracking number and map each number to a lead source and market in Salesforce, so the lead is tagged the moment the call comes in. Then cost per contract by source works without anyone asking the seller where they heard about you. See lead sources in Salesforce.
Deals, contracts and dispositions
Can Salesforce calculate the maximum allowable offer?
Yes. Put ARV, the repair estimate, your fee and the offer percentage on the deal record, and a formula calculates the maximum offer, so every rep offers off the same math. The deal analyzer shows the calculation.
How do I track deals from contract to closing in Salesforce?
Give each stage the dates that matter (inspection, title, closing), create tasks for the transaction coordinator automatically at each stage, and run a report of deals missing a date. A board of every file under contract makes it visible to the whole team. See transaction coordination in Salesforce.
Can Salesforce manage our cash buyers list?
Yes. Store buyers with the zip codes and property types they buy, track what they've bought from you, and tier them by repeat purchases so your best buyers see deals first. Deal blasts can then go only to the buyers who match.
Can Salesforce send DocuSign contracts and track unsigned ones?
Yes, with DocuSign's Salesforce integration. Envelope status writes back to the deal, and a Flow can alert the rep or transaction coordinator when a contract sits unsigned for too long.
Can I track assignment fees and net profit per deal?
Yes. Record the assignment fee or resale price and the deal's costs on the closing record, then roll profit back to the campaign that produced the lead, so ROI counts only the deals that actually closed. See financial analytics in Salesforce.
Reports and numbers
What numbers should a wholesaling owner check every week?
I recommend five, which I call the Monday 5: cost per appointment by campaign, contracts per campaign, hours from contract to the first call back to the seller, booked vs. kept profit, and campaign ROI that includes the houses you keep. See the Monday 5.
How do I see cost per contract by campaign in Salesforce?
Every lead needs a campaign or source, every campaign needs its monthly spend, and every deal needs a contract date. Then a report divides spend by contracts for each campaign. If source is blank on deals, check that your custom lead fields are mapped on conversion.
Why don't our Salesforce numbers match QuickBooks?
Usually because spend was entered differently from what accounting paid, reports count by different dates, or source and market get lost when leads convert. Reconcile one month, deal by deal, and agree on definitions. See why your Salesforce numbers don't match.
How do I track ROI by market?
Put a Market field on every lead, deal and campaign, filled automatically from the tracking number, form or zip code, and split spend the same way in your accounting. Then every report can be filtered or grouped by market. See the new market checklist.
Can Salesforce post daily numbers to Slack?
Yes. Once Salesforce is connected to Slack, a scheduled Flow can post a daily summary to a channel. I run daily numbers in Slack for the company I work with, so the team sees them without opening Salesforce.
Automation
Should we use Flow or Zapier?
Use Flow for anything that happens inside Salesforce: tasks, alerts, field updates, follow-up. Use Zapier to connect tools that have no Salesforce integration. Every Zap is another bill and another thing that can fail, and Zapier turns a Zap off automatically if 95% of its runs in the last seven days errored. At the company I work with, we moved Zaps into Flows after hitting the Zapier plan limit.
What happens when a Salesforce automation fails?
By default, Salesforce emails the person who last edited the flow. If that person has left, nobody hears about it. Send flow error emails to the Apex Exception Email list instead, with two people on it, and check the Automation app's Monitor tab for failed runs. See monitoring Salesforce automations.
Can our ops team turn notifications on and off without an admin?
Yes, if it's built that way. I build a configuration object, a settings record where ops can switch individual notifications and rules on or off without editing any automation. See the configuration object.
Do we need a developer, or can Flow do it?
Flow covers most of what investor teams need: tasks, alerts, assignments, field updates and simple integrations. Code makes sense for heavy logic or high volume, like syncing a full day of call logs from a phone system. Start with Flow and bring in code only when Flow hits a wall.
How many automations can we run in Salesforce?
It depends on your edition. Pro Suite allows 5 flows in total, which is fewer than most investor teams need, and Salesforce Help documents 2,000 active flows for Enterprise. Check the current limits for your edition before you plan a build.
Admin and team
Do we need a full-time Salesforce admin?
Usually not at 10 to 50 people. Most teams that size have a steady stream of changes, not 40 hours a week of them. A part-time or retainer admin who knows real estate covers it, as long as automations are checked monthly and changes are written down. See hire, freelancer or retainer.
What should we do when our Salesforce admin leaves?
Freeze their user, make sure someone still with you has admin access, then find everything that runs under their name: flow error emails, integrations, scheduled reports, records and queues. Move those, then deactivate. See the two-week handover plan.
Should we freeze or deactivate a user who left?
Freeze first, deactivate later. Freezing blocks login without changing anything they own. A frozen user still uses a license, so deactivate once their records and integrations have been moved.
How do we set up a new acquisitions rep in Salesforce?
Before day one: a user with a sales profile and a permission set, the dialer and texting connected to their own user, lead assignment that starts on their first calling day, three list views and approved templates. In week one, add a speed-to-lead alert that escalates to the manager. See adding acquisitions reps.
Can VAs use Salesforce safely?
Yes. Give them a restricted profile plus a permission set with only what they need, hide sensitive fields, and leave the export permission off so only owners can export your lead list. See VA access in Salesforce and stopping reps from exporting your seller list.
Compliance
Can Salesforce help with TCPA and Do Not Call compliance?
It can help you keep the records, but it doesn't make you compliant on its own. Track consent, opt-outs and Do Not Call status on the seller record, and stop automations when a seller opts out. TCPA damages are $500 per violation, up to $1,500 if willful, so have a lawyer review your process. This isn't legal advice.
How do we track wholesaling rules that differ by state?
Store the property's state on every deal and use it to pick the right contract template and required disclosures, with tasks that confirm they were sent. State rules change, so check them with a local attorney. See wholesaling laws and CRM tracking.
Working with me
Who is Amr Magdy?
I'm a Salesforce CRM Consultant for US real estate investors, wholesalers and home-buying companies. For two years I've run the Salesforce for a two-market home-buying company in Ohio, and I build the same system for other investor teams. Before Salesforce I spent eight years as an Adobe Certified Instructor and trained more than 8,000 people. I work from Cairo during US business hours. More about me.
Who is the CRM Revenue Audit for?
Home-buying companies, wholesalers and investor teams of roughly 10 to 50 people who are already on Salesforce. It covers campaign ROI, speed to lead, acquisitions follow-up, data health, automations and reporting, and ends with a findings report, a 30/60/90-day plan, a Monday 5 dashboard spec and up to three quick fixes done. See the sample report.
What if we're not on Salesforce yet?
Then the audit isn't the right step. Teams on Podio, REsimpli, GoHighLevel or spreadsheets get a move to Salesforce instead: I map what you track today, move your data and build around how your team works. The scoping call is free. See move to Salesforce.
