Sample Salesforce audit report for a home-buying company
This is a shortened sample for a made-up company, “Example Home Buyers”, so you can see the format before you buy. It isn’t a real client and there are no real numbers in it. A real report covers your org, uses your data and runs much longer.
$1,500 fixed, for teams already on Salesforce.
The company in this sample: a home-buying team in two markets with 6 Salesforce users, acquisitions reps, a lead manager, a dispo lead and a transaction coordinator. Leads come from mail, PPC, cold calling and texting.
1. Summary for the owner
The org is in decent shape for day-to-day work. The money leaks sit in three places: missed calls on marketing numbers that nobody gets alerted on, offers that go quiet because nobody owns the next step, and campaign ROI that counts contracts instead of deals that closed. Fixing those three comes first.
2. Findings
Every finding says where it is, why it matters, how much it matters and how big the fix is.
| # | Finding | Where | Why it matters | Impact | Fix size |
|---|---|---|---|---|---|
| 1 | The missed-call alert flow has been failing silently since a field was renamed | Flow “Missed Call Alert”, phone integration | Sellers who call after hours get no callback | High | Small |
| 2 | Offers sent with no follow-up task and no owner for the next step | Opportunity, stage “Offer Made” | Offers go cold while the seller shops other buyers | High | Small |
| 3 | Lead Source is a free-text field with many spellings of the same source | Lead and Opportunity | Campaign reports split one source into several rows | Medium | Medium |
| 4 | Campaign ROI counts signed contracts, including ones that fell out | Campaign reports and dashboard | Spend goes to sources that look good but don’t close | High | Medium |
| 5 | No duplicate rule on seller phone number | Duplicate and matching rules | Two reps call the same seller with two different offers | Medium | Small |
| 6 | Dead and lost deals have no required reason | Opportunity close | No way to see why deals are lost, by rep or by market | Low | Small |
| 7 | Three old automations still run on the same field and fight each other | Process Builder and Flow | Status changes back after a rep updates it | Medium | Medium |
| 8 | The owner dashboard runs on reports nobody has checked in months | Home dashboard | Monday decisions get made on wrong numbers | Medium | Medium |
3. The 30 / 60 / 90 roadmap
- First 30 days: fix the missed-call alert, add the follow-up task on every offer, and add the duplicate rule on phone. These stop the biggest leaks for the least work.
- Days 31 to 60: clean up Lead Source into one picklist and map the old values, add required lost reasons, and retire the old automations into one flow.
- Days 61 to 90: rebuild campaign ROI on closed deals only, then build the Monday 5 dashboard below.
4. The Monday 5 dashboard spec (excerpt)
Each number is defined field by field, so your team or anyone you hire can build it.
| Number | Report type | Filter | Grouped by |
|---|---|---|---|
| Cost per appointment by campaign | Campaigns with Opportunities | Appointment date this month | Campaign |
| Contracts per campaign | Opportunities with Campaign | Stage reached “Under Contract” | Campaign, market |
| Time from contract to first seller call | Opportunities with Activities | Contract date last 30 days | Acquisitions rep |
The full spec also covers booked vs. kept profit and campaign ROI, including the houses you keep.
5. Three quick fixes, done during the audit
- Repaired the missed-call alert so the lead manager gets a text and a task within minutes.
- Added an automatic follow-up task, owned by the rep, the moment a deal moves to “Offer Made”.
- Turned on a duplicate rule that warns a rep when a seller’s phone number is already in the system.
The three fixes are agreed with you before I touch anything.
6. The walkthrough
A recorded call where I go through every finding with you and your team, answer questions and agree the order of the fixes.
If the report doesn’t give you at least five specific, fixable issues worth more than the fee, you get the fee back.
