Cold caller to acquisitions handoff: the fields and rules.

Most cold calling teams lose deals at the handoff, not on the call. The caller marks a lead "warm", acquisitions calls back with no context, and the seller has to start over. Fix it with three things: a short fixed list of call outcomes, fields that must be filled before a lead can be passed, and a callback time rule your CRM enforces. The stage rules on either side of the handoff are in wholesaling pipeline stages. The queue, outcome and scorecard side is in cold-calling team setup. The questions behind those fields are in motivated seller questions and the CRM field for each.

1. A fixed list of call outcomes

Not interested · Wrong number · Call back later · Warm · Hot

Five options, picked from a list, never typed. Free text makes reporting impossible.

2. Required before a lead is passed

FieldWarmHotWhy
Timeline to sellRequiredRequiredSets the follow-up cadence
Reason for sellingRequiredRequiredThe first thing acquisitions needs to hear
Property conditionRequiredRequiredFeeds the repair estimate and MAO
Asking price (if given)OptionalRequiredShows the gap to your offer early
Decision makers on titleOptionalRequiredAvoids appointments with the wrong person
Best callback timeRequiredRequiredGets the second call answered

3. A callback time rule

Set a rule and let the CRM enforce it

Hot leads alert the acquisitions manager and get a callback task due within the hour. Warm leads get a task due the same day. Any task past due shows up on a daily "late callbacks" list. Pick times that fit your team, then make the CRM create the tasks so nobody has to remember.

4. A 20-minute weekly check

1. Pull last week's Warm and Hot leads by caller 2. Compare each caller's outcome with what acquisitions found on the callback 3. Count missing required fields per caller 4. Coach the caller with the biggest gap, one thing at a time

Investors on BiggerPockets debate lead managers vs acquisitions managers and VAs for cold calling; whichever setup you choose, the handoff rules above stay the same.

Questions

What should a cold caller collect before passing a lead?

At minimum: timeline to sell, reason for selling, property condition and best callback time. For hot leads add asking price and who is on title.

How fast should acquisitions call back a hot lead?

Set a rule your team can keep, such as within the hour for hot and the same day for warm, and have the CRM create the task and flag it when it is late.

How do I check if my VAs are qualifying leads correctly?

Once a week, compare each caller's Warm and Hot leads with what acquisitions found on the callback, and count missing required fields per caller.

Can a CRM block incomplete handoffs?

Yes. Most CRMs, including Salesforce, can require fields before a status changes, so a lead cannot be marked Hot until the key questions are answered.
