Fewer wasted drives. Seller appointment reminders and no-shows in Salesforce
An acquisitions rep who drives across town to a house where nobody answers loses half a morning, and the seller who didn't show is often talking to someone else. Most teams can't say how often it happens, because the appointment just quietly disappears from the calendar. This page is for owners and acquisitions managers who want fewer no-shows and an honest number for the ones that still happen.
Treat every set appointment as something the system keeps track of. Confirm it in writing the moment it's booked, remind the seller the day before and a couple of hours before, and have the rep text on the way. Record an outcome on every appointment: held, no-show, rescheduled or canceled. A no-show then creates a reschedule task on its own, and a weekly report shows the show rate by rep, source and day, which is where the real fixes come from.
What does a no-show actually cost?
- The rep's time. The drive, the prep and the comps pulled for a house you never saw.
- The slot. That time could have gone to a seller who would have been home.
- Often the deal. A seller who skips the appointment may have signed with another buyer, or got cold feet that one more call would have settled.
- The truth in your numbers. If no-shows aren't recorded, "appointments set" and "appointments held" look the same in reports. Lead managers look better than they are, and nobody can see where the leak is.
Where should appointments live in Salesforce?
In two places, kept in step:
- A calendar event linked to the lead or deal, synced to the rep's Google or Outlook calendar, so the appointment exists where the rep actually looks.
- A few fields on the lead or deal: appointment date and time, in person or virtual, who set it, and the outcome. Fields make the reports simple and give your reminders a date to count from.
If sellers book themselves online, Calendly's Salesforce integration can create the lead and the event and track cancellations and reschedules. Calendly says it needs Salesforce Enterprise Edition or higher.
A map helps more than you'd think. The org I run has an appointment map inside Salesforce, so a rep can see the day's appointments and the leads near them, and plan the route.
How should you confirm and remind?
| When | What | Sent by |
|---|---|---|
| Right after booking | Confirmation with the day, time, address and the rep's name | Salesforce, automatically |
| The day before | Reminder that asks for a quick reply to confirm | Salesforce, automatically |
| A couple of hours before | Short reminder | Salesforce, automatically |
| On the way | "Leaving now, see you at 2" | The rep, personally |
The automatic ones run from a record-triggered Flow with scheduled paths counted from the appointment date and time, sent through your texting tool. When the appointment moves, the scheduled reminders move with it, so a rescheduled seller doesn't get a reminder for the old time.
- Route every reply to the rep. "Can't make it" should create a reschedule task right away, not sit in an inbox.
- Stop on opt-out. Reminders a seller expects are different from marketing, but the opt-out rules still apply. Check your setup with whoever advises you on the TCPA. Not legal advice.
- Keep the rep's own text. The automatic messages make sure nobody forgets. The personal one is what makes a seller feel bad about not being there.
Record an outcome on every appointment
One required field, filled in after the appointment time passes:
- Held
- No-show
- Rescheduled
- Canceled by the seller
- Canceled by us
Then two rules. The morning after any appointment with no outcome, the rep gets a task to record it, and the manager sees the list. And a held appointment needs a next step before it can be saved: an offer, a follow-up date or a dead reason. That's how appointments stop vanishing between the calendar and the deal. The next step after "held" is usually an offer, and the offer follow-up guide picks up from there.
What should happen after a no-show?
- From the driveway: the rep calls and texts before leaving. "I'm outside" often finds a seller who is ten minutes away.
- Same day: marking the no-show creates a reschedule task due today and starts a short follow-up of two or three touches offering a new time. It stops when the seller replies.
- After a second no-show: move the seller to a longer follow-up cadence rather than blocking more calendar time.
- When you learn why, record it: forgot, changed their mind, family disagreed, sold to someone else. A month of reasons tells you whether the fix is reminders, qualifying or speed.
What about virtual appointments?
Many teams make offers by phone or video instead of at the house. They need the same tracking: the reminder carries the link or the number to call, and the outcome is recorded the same way. Keep in-person and virtual separate in your reports, because they show up and close at different rates. The org I run tracks on-site and virtual offers separately for exactly that reason.
The reports that matter
- Show rate, held divided by held plus no-shows, by who set the appointment, by lead source, by day and time, and by how many days ahead it was booked. If appointments booked far ahead no-show more often, book sooner.
- Appointments with no outcome. It should be empty.
- Held appointments with no next step. Also empty. If it isn't, offers are leaking.
- Set versus held, by lead manager. If you pay on appointments, pay on held ones.
- Cost per held appointment by source, next to cost per contract. For PPC, that's also the number worth sending back to Google Ads.

Questions
How do you reduce no-shows for seller appointments?
Confirm in writing as soon as the appointment is booked, send reminders the day before and a couple of hours before, have the rep text on the way, and book as soon as the seller can meet. Then track the show rate by rep and source to find what else needs fixing.
Can Salesforce send appointment reminder texts?
Yes, through a texting app connected to Salesforce. A record-triggered Flow with scheduled paths can send reminders a set time before the appointment, and the reminders move automatically if the appointment is rescheduled.
How do I track no-shows in Salesforce?
Add a required outcome field for each appointment, with values like held, no-show, rescheduled and canceled, and create a task the morning after any appointment that has no outcome yet. Report on held divided by held plus no-shows.
What is a good show rate for seller appointments?
There's no reliable public benchmark for investor teams. Measure your own by rep, source and day, and work on the biggest gaps; the trend matters more than any outside number.
Does Calendly work with Salesforce?
Yes. Calendly's Salesforce integration can create leads and events and track cancellations and reschedules. Calendly says it requires Salesforce Enterprise Edition or higher.
What should a rep do when a seller doesn't show?
Call and text from the driveway before leaving, then let Salesforce create a same-day reschedule task and a short follow-up offering a new time. After a second no-show, move the seller to a longer follow-up cadence.
