Wholesaling CRM: what it must track, stage by stage.

A wholesaling CRM earns its cost when it shows where deals leak between the marketing dollar and the closing table. Check yours against five stages: spend, answer, follow-up, offer and keep. Each stage needs a few required fields, one or two automations, and one number you review every Monday. Stage rules are in wholesaling pipeline stages, and the seven jobs for a home-buying company are in CRM for a we buy houses company. Turn the checklist into rules your team follows: SOPs inside your CRM.

The checklist

1. Spend: Know what each closed deal cost

☐ Lead source and campaign on every lead, required
☐ Monthly spend per campaign
☐ Source carried through to the closed deal
Monday number: Cost per kept deal by campaign

2. Answer: Talk to sellers before another investor does

☐ Missed calls create the lead and a callback task
☐ Routing to the next available rep
☐ Lead created time and first conversation time
Monday number: Median speed to lead; missed calls not returned

3. Follow-up: Keep warm sellers from going quiet

☐ Lead temperature and next follow-up date, required
☐ A dated cadence by temperature
☐ Dead reason plus a date to revisit
Monday number: Leads with no next step; follow-ups overdue

4. Offer: Same deal, same math, every rep

☐ ARV, repairs, rule %, fee on the deal
☐ MAO as a formula field
☐ Offer amount and date
Monday number: Offers made; offers below MAO

5. Keep: Contracts that actually close

☐ Contract and closing dates
☐ Exit type: assignment or double close
☐ Fall-out reason when a deal dies
Monday number: Kept deals; fall-out rate and reasons

How to choose: spreadsheet, investor CRM or Salesforce

Spreadsheet

Fine for one person and a handful of deals. It breaks when several people work leads, when missed calls must become tasks on their own, or when you need cost per closed deal without rebuilding it each month.

An investor CRM

Built for wholesaling and quick to start, with dialers, texting and pipelines included. Check it against the checklist above before you buy, especially lead source carried to the closed deal and fall-out reasons.

Salesforce

More setup, but it fits teams with their own process, several markets or custom reporting, and it grows with the business. I build on Salesforce, so weigh that: the checklist matters more than the brand.

Questions

What is a wholesaling CRM?

The system a wholesaler uses to track sellers, properties, offers, contracts and cash buyers from the first call to the closed assignment or double close. A good one also ties every closed deal back to the marketing that produced it.

What is the most important thing a wholesaling CRM tracks?

Lead source, kept all the way to the closed deal. Without it you cannot tell which campaign paid for which deal, so you cannot cut the ones that lose money.

Is a spreadsheet enough?

For one person doing a few deals it can be. It breaks when more than one person works leads, when missed calls need to become tasks automatically, or when you need cost per closed deal by campaign without rebuilding it by hand.

Should I use an investor CRM or Salesforce?

Investor CRMs come set up for wholesaling and are quicker to start. Salesforce takes setup but fits teams that need their own process, several markets, or custom reporting. I build on Salesforce, so weigh my view with that in mind: the checklist on this page matters more than the brand.

How do I check my current CRM?

Go stage by stage through the checklist on this page and mark each line yes or no. The free Deal Leak Score does the same in ten questions and gives a score out of 100.
