Salesforce features that matter for real estate investors.
For real estate investors, the Salesforce features that pay off are custom objects, Flow automation, validation rules, lead routing and reporting: they turn a contact list into a system that tracks every property, offer and buyer. Below are 37 features, what each does for a wholesaling or investing team, and the edition limits that decide whether you can use it.
- The Salesforce features that matter most to investors aren’t the AI headlines. They’re custom objects (Property, Offer, Buyer), Flow automation, validation rules, assignment rules and reports.
- Starter allows 0 custom objects, so it can’t hold a Property or Offer object. Professional allows 50 and only 5 flows; Enterprise allows 200 objects and 2,000 active flows. source · source · source
- Each feature below has what it does, how a wholesaling or investing team uses it, and the edition or limit to know, linked to Salesforce’s own documentation.

Can Salesforce model properties, offers and buyers?
Yes, with custom objects and relationships. This is the biggest difference from most investor CRMs, which give you a fixed lead-and-deal structure.
Custom objects
What it does: Your own record types with their own fields, layouts and reports.
In real estate: A Property object (one record per address, however many times it’s marketed), an Offer object (every offer, not just the last one), a Buyer object with buy box fields.
Edition / limit: Starter 0, Pro Suite and Professional 50, Enterprise 200, Unlimited 2,000. Custom fields per object: 25 / 100 / 100 / 500 / 800. source
Lookup and master-detail relationships
What it does: Link records. Master-detail deletes children with the parent and allows roll-ups; lookup doesn’t.
In real estate: Offers as master-detail children of a Property, so “number of offers” and “highest offer” roll up. Seller as a lookup, because one seller can own several properties.
Edition / limit: 2 master-detail and 40 total relationships per object. source
Junction objects
What it does: A many-to-many link built from two master-detail relationships.
In real estate: Property ↔ Buyer: which buyers were sent which deal, who viewed it, who offered. That’s your dispo history.
Edition / limit: Can carry roll-ups to both parents. source
Roll-up summary fields
What it does: Count, sum, min or max of child records on the parent.
In real estate: Offers per property, total assignment fees per lead source, deals per buyer.
Edition / limit: 25 per object by default, up to 40 via Support. source
Formula fields
What it does: Read-only fields calculated from other fields.
In real estate: MAO = ARV × 70% − repairs. Assignment fee = buyer price − contract price. Days since last contact.
Edition / limit: All editions; up to 3,900 characters. source · see the deal analyzer
What can Salesforce automate for a real estate team?
Flow (record-triggered)
What it does: Runs when a record is created, updated or deleted.
In real estate: New lead → task for the assigned rep due in 5 minutes. Missed call → callback task. Stage = Under Contract → post to the dispo channel.
Edition / limit: Professional and Pro Suite: 5 flows. Enterprise and Unlimited: 4,000 total, 2,000 active. source · Professional · Enterprise
Flow (schedule-triggered)
What it does: Runs at a set time and frequency on a batch of records.
In real estate: Every morning: leads with no activity in 7 days get a follow-up task. Every Monday: stale offers flagged.
Edition / limit: Same flow allocation as above. source
Screen flows
What it does: Guided forms with steps and logic.
In real estate: A seller intake script that asks timeline, condition and reason, and only shows the asking-price question when the lead is hot. See the cold caller handoff checklist.
Edition / limit: Same flow allocation. source
Flow Approval Processes
What it does: Multistep approvals where each step assigns a work item to a user, group or queue.
In real estate: Offers above MAO, or above a dollar threshold, need the acquisitions manager’s approval before they go out.
Edition / limit: Enterprise, Performance, Unlimited and Developer; Lightning only. Salesforce calls it the modern alternative to classic approval processes. source · editions

How does Salesforce assign leads to the right rep?
Lead assignment rules
What it does: Ordered rule entries; the first match assigns the lead to a user or queue.
In real estate: Leads from a market or zip code go to that market’s acquisitions rep; PPC leads go to the senior closer.
Edition / limit: Up to 25 criteria per entry. source
Round robin
What it does: Salesforce’s documented method uses an autonumber field, a MOD formula and one assignment entry per rep.
In real estate: Even split of inbound leads across 3 reps. Change the divisor when a rep joins or leaves.
Edition / limit: Method from Salesforce Help. source
Queues
What it does: Shared buckets that team members claim records from.
In real estate: A “Hot seller callbacks” queue anyone on the team can claim from when the owner is on another call.
Edition / limit: No limit on the number of queues. source
Full setup: Salesforce lead and call routing for real estate teams.
How do you keep CRM data clean?
Validation rules
What it does: Block a save when the data breaks a rule you define, with your error message.
In real estate: A warm or hot lead can’t be saved without timeline, reason and condition. A deal can’t move to Under Contract without a contract price.
Edition / limit: Active rules per object: Professional 20, Enterprise 100, Unlimited 500. source · allocations
Four ways to require a field
What it does: Field-level (enforced everywhere, including imports), page layout (screen only), validation rule (conditional, everywhere), Dynamic Forms (that page only).
In real estate: Use a validation rule for “required at this stage”. Use field-level only for fields every record has from day one, or imports will fail.
Edition / limit: Salesforce Help comparison. source
Dynamic Forms
What it does: Show or hide fields based on record data, user or device.
In real estate: Show the assignment fields only when exit type = assignment; show double close costs only for double closes.
Edition / limit: Group, Essentials, Professional and up. source
Duplicate and matching rules
What it does: Block or alert when a new record matches an existing one.
In real estate: The same seller arrives from a mailer, a web form and a list import. Match on phone and property address.
Edition / limit: Up to 5 active duplicate rules per object. source
Path
What it does: A stage bar with key fields and guidance per stage.
In real estate: Lead → Appointment → Offer → Under Contract → Assigned / Closed, with what the rep must capture at each step.
Edition / limit: Up to 5 key fields and 1,000 characters of guidance per step. source
Kanban view
What it does: Drag-and-drop board of a list view, grouped and totaled.
In real estate: Dispo pipeline by stage, summarized by expected assignment fee.
Edition / limit: Essentials, Group, Professional and up; Lightning only. source
Field history tracking
What it does: Records old value, new value, who and when.
In real estate: See who changed the lead source or the stage, and when. (Currency fields aren’t supported, so price changes need another approach.)
Edition / limit: 20 fields per object; 18 months in the UI and 24 via the API without Field Audit Trail. source · retention
What reports can Salesforce build for investors?
Custom report types
What it does: Define which objects and fields a report can use.
In real estate: Lead source → deal → assignment fee in one report, which is how you get cost per deal by source.
Edition / limit: Professional 50, Enterprise 300, Unlimited 2,000. source
Joined reports and cross filters
What it does: Several report blocks side by side; filters like “leads without activities”.
In real estate: Leads with no call in 7 days. Offers made vs contracts signed by rep, side by side.
Edition / limit: Joined reports: Enterprise and up, 5 blocks. Cross filters: 3 per report. source
Reporting snapshots
What it does: Save report results to a custom object on a schedule.
In real estate: Pipeline value every Monday, so you can chart the trend, not just today’s number. Pairs with the Monday 5 KPIs.
Edition / limit: Professional and up; Professional allows 200. source
Dashboard subscriptions
What it does: Dashboards emailed on a schedule.
In real estate: The owner gets the weekly numbers in their inbox without logging in.
Edition / limit: Up to 500 recipients per subscription. source
Examples: 20 report recipes · pipeline dashboard · real estate KPIs in Salesforce.
Can Salesforce handle follow-up and email?
Web-to-Lead and auto-response rules
What it does: A website form creates a lead; an automatic email replies.
In real estate: The “sell your house” form creates a lead with its campaign, and the seller gets a confirmation instantly.
Edition / limit: 500 leads per 24 hours; one active lead auto-response rule. source · auto-response
List Email
What it does: Send a template to up to 200 leads or contacts at once.
In real estate: A new-deal email to buyers in one zip code.
Edition / limit: Counts toward the mass email limit, typically 5,000 recipients a day. source
Sales Engagement cadences
What it does: Sequences of calls, emails and tasks that appear in a rep’s work queue.
In real estate: A seller follow-up cadence that runs for months, not days.
Edition / limit: Included in Unlimited; extra cost in Professional and Enterprise. source
Einstein Activity Capture
What it does: Syncs email and calendar activity from Gmail or Microsoft to Salesforce.
In real estate: Every email with a title company or buyer shows on the record.
Edition / limit: Standard version in Starter through Enterprise; 6 months of activity stored. source
Does the Salesforce mobile app work in the field?
Offline and Offline Edit
What it does: Caches recent records and lets users create and edit offline; changes sync later.

Buyer side: wholesale dispositions in Salesforce.

Questions
What Salesforce features are most useful for real estate investors?
Custom objects for properties, offers and buyers; Flow for follow-up and missed-call tasks; validation rules so warm leads can’t be saved without key details; lead assignment rules; and reports that tie lead source to closed deals.
Can Salesforce calculate MAO?
Yes. A formula field can calculate MAO from ARV, your percentage and repair costs on every deal, so every rep uses the same math.
Is Salesforce Starter enough for a wholesaler?
Usually not. Starter allows 0 custom objects, so you can’t add Property, Offer or Buyer objects, and Salesforce doesn’t state API access for it on its pages.
How many flows does Salesforce Professional allow?
Salesforce’s Professional Edition allocation page lists 5 flows. Enterprise and Unlimited allow 4,000 total and 2,000 active.
Can I track who changed a lead’s stage in Salesforce?
Yes. Field history tracking records the old value, new value, user and time for up to 20 fields per object, kept 18 months in the interface without Field Audit Trail.
Does Salesforce work offline for driving for dollars?
The mobile app caches recent records and Offline Edit lets users create and edit records offline, syncing when the device reconnects.
