Seller follow-up cadence builder.

Silence is not a no. Pick how hot the lead is, the date you first spoke, and the channels you use. You get a dated touch plan you can follow by hand or import into your CRM as tasks. It is a starting template: adjust it to your market and your own results. The words for each touch are in 12 follow-up message templates.

If a step uses a channel you turned off, it moves to the next channel you use.

Rules that make any cadence work

Every open lead has a next touch date

A lead with no next task is a lead nobody will call. Make the next touch date required before a rep can save a call outcome.

Stop on a no, not on silence

Silence is not a no. Move a quiet lead to a slower cadence instead of closing it. Close it only when the seller says no, sells, or the property no longer fits, and record the reason.

Log channel and outcome on every touch

After a few hundred touches you can see which channel and which touch number actually gets replies, and replace guesses with your own numbers.

Re-rate the temperature after each conversation

A cold lead whose situation changes (a job move, a vacancy, a repair bill) becomes hot. Changing the temperature should restart the cadence from that date.

Questions

How many times should I follow up with a seller lead?

Until they say no or sell, not until you get tired. The cadence changes with the lead: a seller with a near deadline gets touches every few days, a seller who said "not now" gets a touch every month or quarter. What matters is that every open lead has a next touch date.

Should I call or text first?

Test it on your own list rather than guessing. Split a list in half, call first on one half and text first on the other, and compare reply rates after a few weeks. Log the channel on every touch so you can see the answer.

What is a hot, warm and cold seller lead?

In this builder, hot means a seller with a reason and a timeline under about a month, warm means interested but one to six months out, and cold means not now. Use your own definitions, but write them down so every rep labels leads the same way.

Is texting sellers legal?

Rules on texts and calls to consumers vary by country and US state, and several states are stricter than federal law. Check the rules that apply to you, and consent requirements, before you scale texting. This builder plans touches; it does not send anything.

How do I load the plan into my CRM?

Download the CSV and import it as tasks, or create the same steps as an automated cadence in your CRM. Most CRMs, including Salesforce, can create the next task automatically when the last one is completed.
