Guide for Salesforce admins and owners · by Amr Magdy · updated October 27, 2026

12 Salesforce features your real estate org is probably not using.

Most investor teams on Salesforce use leads, opportunities, a few reports and a couple of flows. These 12 features are already in many of the editions you pay for, and each one closes a specific leak: duplicate sellers, missed calls, offers above MAO, profit nobody ties to a campaign. Each comes with the investor use case, setup in six lines, the edition (checked against Salesforce Help on October 20, 2026), a gotcha, and how to tell if your org already uses it.

Score your org as you read: under each feature, check your org the way it says, then tap "Using it" or "Not yet". Your score and your gaps show after feature 12, and nothing is sent anywhere. Prefer paper? Print the 2-page PDF checklist and hand it to your admin.

Start the self-check

1. Scheduled paths in record-triggered flows

A flow that waits, then acts: 3 days after the last call, 2 days before a deadline.

Investor use case
Follow-up that runs for weeks and pushes itself back when a rep logs a new conversation. Also contract deadlines: a task to the coordinator 2 days before the inspection period ends.
Setup, in short
  1. Add a "Last Contact Date" field on the Lead, stamped by a flow whenever a connected call or appointment is logged.
  2. Create a record-triggered flow on Lead (created or updated, only when the record is updated to meet the conditions).
  3. In the Start element, choose "Add Scheduled Paths" and create paths at 3, 14 and 45 days after Last Contact Date.
  4. On each path, create a follow-up task for the lead owner with the right script in the description.
  5. Add an entry condition so dead, converted or do-not-contact leads never get tasks.
  6. Test on 5 leads with back-dated contact dates before you activate.
Edition
All paid editions run flows, but Pro Suite allows 5 flows in total; Enterprise allows 2,000 active. Source
Gotcha
Changing the date field reschedules pending paths when the new date is in the future (good: a new call pushes the next follow-ups back). Paths that already ran don't fire again. $Record__Prior is not available inside scheduled paths, and a failed path retries a few times before it gives up, so check failed interviews in Setup.
Are you already using it?
Open Setup > Flows and your Lead flows. If none has a Scheduled Paths section in the Start element, you are not using it.
In your org:

2. Matching and duplicate rules

Rules that catch the same seller before a second rep calls them.

Investor use case
Stacked lists bring the same owner in three times with different phone formats. A custom matching rule on phone, email and a cleaned property address stops the second record or flags it.
Setup, in short
  1. Add a "Property Address Key" text field: street number + street name + zip, lowercase, no punctuation, filled by a flow.
  2. Setup > Matching Rules: new rule on Lead matching Phone (exact), Email (exact) or Property Address Key (exact).
  3. Activate the matching rule, then Setup > Duplicate Rules: new rule on Lead using it.
  4. Set the action to Allow, with Alert and Report on, while you test.
  5. Add a second rule comparing Leads against Contacts, so a past seller is caught too.
  6. After a week of duplicate reports, switch to Block where you trust the match.
Edition
Essentials, Professional, Enterprise and Unlimited (Salesforce Help). Source
Gotcha
Rules do not run on lead conversion or manual merge. Up to 5 active duplicate rules per object. Imports and API loads that hit a blocking rule fail without a pop-up, so read the error file.
Are you already using it?
Setup > Duplicate Rules. If only the standard rules are active and nobody changed them, you are on defaults that do not know about property addresses.
In your org:

3. Omni-Channel routing for leads

Push leads from a shared queue to the next available rep, by capacity and skill.

Investor use case
A shared seller-lead queue that hands each new lead to a rep who is online and under their limit, and can prefer the rep who covers that market.
Setup, in short
  1. Create a Lead queue for new seller leads and add the acquisitions reps.
  2. Enable Omni-Channel in Setup; standard orgs now get Enhanced Omni-Channel.
  3. Create a service channel for Lead and presence statuses such as "Available for leads".
  4. Create a routing configuration (most available or least active) and set units of capacity per lead.
  5. Attach the routing configuration to the queue and add the Omni-Channel component to the sales app.
  6. Run a week with two reps before rolling out to the team.
Edition
Edition and licensing for lead routing are not stated on the Help pages checked; confirm with your Salesforce rep before you plan on it. Source
Gotcha
Routing happens once. If a field changes after a lead is routed, Omni-Channel does not re-route it. Standard Omni-Channel was retired in Summer '26 and orgs moved to Enhanced automatically.
Are you already using it?
Setup > Omni-Channel Settings. If it is off, or on with no routing configuration for Lead, you are not using it.
In your org:

4. Custom notifications from Flow

A push alert on a rep's phone, sent by a flow.

Investor use case
Missed seller call: the lead owner gets a phone notification with the seller's name and a link to the record, and a callback task due in 10 minutes.
Setup, in short
  1. Setup > Notification Builder > Custom Notifications: create "Missed seller call" with desktop and mobile on.
  2. Turn on mobile push for the Salesforce mobile app in Setup.
  3. Create a record-triggered flow on the call log (Task or your phone system's object) when the result is missed.
  4. Add a "Send Custom Notification" action with the lead owner as recipient and the lead as target.
  5. Create the callback task in the same flow.
  6. Test from a real phone with the Salesforce app installed.
Edition
Essentials, Professional, Enterprise and Unlimited (Salesforce Help). Source
Gotcha
The limit is 10,000 notifications per org per hour, and extras are dropped, not queued. Mobile push has to be enabled separately.
Are you already using it?
Setup > Notification Builder. If the list of custom notification types is empty, you are not using it.
In your org:

5. Path with guidance

The stage bar at the top of a record, with the fields and coaching for each stage.

Investor use case
At "Offer Made", the path shows ARV, repairs and MAO as key fields and a short checklist: comps logged, repairs walked, manager approval if above MAO.
Setup, in short
  1. Setup > Path Settings > New Path.
  2. Pick Opportunity, the record type and the Stage picklist.
  3. For each stage, choose up to 5 key fields.
  4. Write the guidance: what must be true before this deal moves on.
  5. Activate the path; turn on celebrations for Closed only if your team likes them.
  6. Walk the team through one live deal.
Edition
Essentials, Group, Professional, Enterprise and Unlimited (Salesforce Help). Lightning only. Source
Gotcha
Up to 5 key fields and 1,000 characters of guidance per step, and one path per object, record type and picklist.
Are you already using it?
Open any deal. If the stage bar has no "Key Fields" or "Guidance for Success" panel, the path is there but empty.
In your org:

6. Dynamic Forms and Dynamic Actions

Fields and buttons that appear only when they matter.

Investor use case
Underwriting fields show once the appointment is set; contract fields only at Under Contract; the "Send to buyers" button only when the deal is ready for dispositions.
Setup, in short
  1. Open the Opportunity record page in Lightning App Builder.
  2. Use the migration wizard to turn the page layout into field sections.
  3. Group fields into sections: Seller, Property, Underwriting, Contract, Dispositions.
  4. Set visibility on each section, for example Stage = Under Contract.
  5. In the Highlights Panel, enable Dynamic Actions and add visibility rules to buttons.
  6. Activate for the right app and profiles, then check on mobile.
Edition
Dynamic Forms: Group, Essentials, Professional, Enterprise and Unlimited (Salesforce Help); Starter and Pro Suite not confirmed. Source
Gotcha
Not available on Tasks, Events, Products or Notes. Dynamic Actions work on desktop and mobile for custom objects but desktop only for standard objects like Opportunity.
Are you already using it?
Open the record page in Lightning App Builder. If you see one big "Record Detail" component, you are still on page layouts.
In your org:

7. Screen flows for intake and offers

A guided form inside Salesforce that asks the questions and writes the records.

Investor use case
A seller intake script that captures motivation, timeline, condition and asking price, creates the Property record and calculates a draft MAO while the rep is still on the phone.
Setup, in short
  1. New Flow > Screen Flow.
  2. Screen 1: seller and property questions, with picklists, not free text, where you report on the answer.
  3. Add an assignment that calculates a draft MAO from ARV, repairs and your target profit.
  4. Create or update the Lead and Property records.
  5. Add the flow to the Lead record page as a component or a quick action.
  6. New in Winter '27: screen flows can run in bulk from list views when the flow has an "ids" input collection.
Edition
Runs on the flow allowance of your edition (5 flows in total on Pro Suite). Source
Gotcha
Bulk launch from a list view needs a text collection input variable named "ids", or the button won't pass the selected records.
Are you already using it?
Setup > Flows, filter Type = Screen Flow. If the list is empty or only has sample flows, intake still happens in free text.
In your org:

8. Field History Tracking and Setup Audit Trail

A log of who changed which field, and who changed the setup.

Investor use case
Settle the arguments: who reassigned the lead, who moved the stage back, who changed the lead source after the deal closed. Audit Trail shows who edited a flow before it broke.
Setup, in short
  1. Object Manager > Opportunity > Fields & Relationships > Set History Tracking.
  2. Pick the fields that cause arguments: Stage, Owner, Lead Source, Campaign, Close Date. Currency fields like contract price can't be tracked, so lock contract price with a validation rule instead.
  3. Do the same on Lead: Owner, Status, Lead Source, Phone.
  4. Add the History related list to the record pages.
  5. Build an Opportunity Field History report for the Monday review.
  6. For setup changes: Setup > View Setup Audit Trail, download monthly.
Edition
Professional, Enterprise and Unlimited; Starter and Pro Suite allocations also list 20 tracked fields per object (Salesforce Help). Source · limits
Gotcha
Currency and percent fields can't be tracked. No history exists before you turn it on. The UI shows 18 months of history, the API 24. Setup Audit Trail downloads cover 180 days, then records are deleted.
Are you already using it?
Open a deal and look for a History related list. If it is missing or empty, nobody is tracking.
In your org:

9. Joined reports and report subscriptions

Two reports side by side in one view, emailed on a schedule.

Investor use case
Campaign ROI on one page: campaign spend in one block, closed and kept-deal profit by the same campaign in the next. Subscribe the owner so it lands every Monday at 7 am.
Setup, in short
  1. Reports > New Report > Campaigns, then switch the format to Joined.
  2. Block 1: Campaigns with Actual Cost, grouped by Campaign.
  3. Block 2: Opportunities with Campaign, filtered to Closed Won, summing actual profit.
  4. Add a cross-block formula: profit minus cost, divided by cost.
  5. Save to a shared folder and click Subscribe: Mondays, 7:00, owner and acquisitions manager.
  6. Put the same numbers on the Monday dashboard.
Edition
Joined reports: Enterprise, Performance, Unlimited and Developer (Salesforce Help). Subscriptions: all editions, with 7 report and 7 dashboard subscriptions per user (15 each on Unlimited). Source
Gotcha
Joined reports can't use bucket fields, cross filters or conditional highlighting. The subscription cap is hard; support can't raise it. Dynamic dashboards can't be subscribed to.
Are you already using it?
Reports tab, filter by format. If you have no joined reports and nobody gets a Monday email, the owner is building ROI in a spreadsheet.
In your org:

10. Flow approval processes

A built-in yes or no from a manager before a record can move on.

Investor use case
An offer above MAO, or an assignment fee below your floor, goes to the acquisitions manager for approval from their phone before the rep can send it.
Setup, in short
  1. In Flow Builder, create an approval process flow (autolaunched or record-triggered) on Opportunity.
  2. Entry condition: Offer Amount greater than MAO.
  3. Approval step: approver is the acquisitions manager, or a queue if more than one person can approve.
  4. On approve, set Offer Approved = true; on reject, notify the rep with the comment.
  5. Add a validation rule so Stage can't move to Offer Made unless approved or under MAO.
  6. For autolaunched approvals, add the Request Approval component to the opportunity page; record-triggered ones start on their own.
Edition
Enterprise, Performance, Unlimited and Developer, Lightning only (Salesforce Help). Source
Gotcha
Classic approval processes still work, but new approvals should be built in Flow. Winter '27 allows up to 10 flow approvals on one record page.
Are you already using it?
Setup > Approval Processes and Setup > Flows. If neither has anything on Opportunity, offers above MAO are approved over text messages.
In your org:

11. HTTP Callout in Flow with Named Credentials

Call another tool's API from a flow, without code or Zapier.

Investor use case
Send a new seller lead to your texting tool, or pull property facts from a data provider onto the Property record, inside Salesforce instead of a chain of Zaps.
Setup, in short
  1. Get the vendor's API docs and an API key.
  2. Setup > Named Credentials: create an External Credential (holds the key) and a Named Credential (holds the URL).
  3. Give the right permission set access to the External Credential principal.
  4. In Flow Builder, add an Action > Create HTTP Callout, pick the Named Credential, set GET or POST and paste a sample response.
  5. Map the response fields to your record fields.
  6. Log failures to a field or a task so a broken key doesn't fail silently.
Edition
Generally available (GET since Summer '23, POST since Winter '24). Edition is not stated on the Help page; confirm with your Salesforce rep. Source
Gotcha
Editing an existing HTTP callout action or changing its Named Credential is still Beta. Schedule-triggered flows need a pause before a callout. Anyone with flow access can reuse the generated action.
Are you already using it?
Setup > Named Credentials. If it is empty and you pay for Zapier, there is probably a Zap that could be a flow.
In your org:

12. Einstein Conversation Insights

Call transcripts, keyword tracking and call summaries on the records the calls belong to.

Investor use case
The acquisitions manager searches calls for "probate", "foreclosure" or "already got an offer" and coaches from real conversations instead of listening to everything.
Setup, in short
  1. Confirm your phone system is a supported recording provider (some, like RingCentral, need extra setup).
  2. Setup > Einstein Conversation Insights: turn it on and connect the provider.
  3. Assign the Conversation Insights for Sales permission set to managers and reps.
  4. Add keyword trackers: motivation words, objections, competitor names.
  5. Add the call insights component to Lead and Opportunity pages.
  6. Review one week of calls with the team before you use it for scorecards.
Edition
Enterprise orgs can get up to 2,000 licenses at no cost with 60 processed call hours per license per year; generative call summaries are not available on Starter or Pro (Salesforce Help). Source
Gotcha
It doesn't record calls. It analyzes recordings from a connected provider, so no provider means no insights.
Are you already using it?
Setup > Einstein Conversation Insights. If it is off, the call recordings you already pay for are not searchable in Salesforce.

  • Kanban list views for a transactions board: up to 200 cards per view (Help).
  • Web-to-Lead takes 500 leads per 24 hours; extras wait in a queue (Help). Fine for most sites, not for a list upload.
  • Data Import Wizard vs Data Loader: the wizard handles up to 50,000 records, Data Loader up to 5 million and needs API access (Help).
  • Slack actions in Flow post hot-lead alerts to a channel once Salesforce and Slack are connected (Help).
  • Sales Engagement cadences are a paid add-on below Unlimited (Salesforce); ask your account manager for a quote; scheduled paths do most of the same job for free.
  • Salesforce Maps for driving for dollars and appointment routes: a paid add-on (Maps), included in Max (Sales pricing).

Questions

Which Salesforce edition do these features need?

Most work on Professional and Enterprise-level editions, but limits differ a lot. Pro Suite allows 5 flows in total, and joined reports and flow approvals are documented for Enterprise and above. Each feature above lists its edition with a link to the Salesforce Help page it came from.

Do I need a developer for any of these?

No. All 12 are configuration: Flow Builder, Lightning App Builder and Setup. You need someone who understands your process and has admin access, and a sandbox or test records before you switch anything on.

What should an investor team turn on first?

Duplicate rules and the missed-call notification. They are quick to set up and stop two common leaks: two reps calling the same seller, and voicemails nobody calls back.

Is there a printable version?

Yes. The REI feature checklist for Salesforce is a free 2-page PDF with all 12 features and a score box. On your phone, the Using it and Not yet buttons on this page do the same.

Feature names, editions and limits checked against help.salesforce.com, admin.salesforce.com and salesforce.com on October 20, 2026 (Winter '27 release). Salesforce Help still documents editions under the older names (Professional, Enterprise, Unlimited); in September 2026 Salesforce began selling Core, Advanced and Max. Salesforce is a trademark of Salesforce, Inc.; this page is independent.
